Introduction

The Project Template Add-On is an Add-On for the Project system that allows you to convert completed projects into reusable templates for future use. This Add-On helps organizations standardize their project workflows by creating templates that include all project components such as tasks, milestones, files, documents, and various project management tools. The templates can be easily converted back into active projects, saving time and ensuring consistency across similar projects. This Add-On requires the Project Add-On to be activated before use.

How to Use The Project Template Add-On?

Creating and Managing Project Templates

Projects that have been converted to project templates will be displayed on the main Project Template page. The list page shows all available templates with comprehensive information and management options.
You can use the Search button to find specific templates, use filters to narrow results by status (Ongoing, Onhold, Finished) and date range, select items per page for pagination, and choose between Grid View and Table View to see templates in your preferred format.

When you want to convert a project template back into an active project, click the “Convert to project” action button next to the desired template. You can also use the View action to examine template details or the Delete action to remove templates that are no longer needed.
You can create project templates in two ways. You can create from an existing project by selecting specific components to copy such as Team Members, Clients, Milestones, Tasks, and Bugs, ensuring all relationships and data are preserved. Alternatively, you can create a new template from scratch by entering the Name, Description, Budget, Start Date, End Date, assigning Team Members, and selecting a Status.

Template Details and Overview

When you open a project template by clicking the View action, you will see the project template name displayed at the top of the page along with Edit and Delete options for template management.
The template overview section displays four important cards that provide quick information about the template content. The Total Tasks card shows the total number of tasks included in the template, the Bug Reports card displays the number of bugs, the Days Left card shows the remaining time calculated from the end date, and the Budget card displays the project budget in currency format.
You will also see the Project Details Section which includes the Status indicator with color coding, Start and End dates, Description, and Edit functionality for modifying all project details.

Team Management

The Team Members Section displays a list of assigned team members. You can add new members via a multi-select dropdown and remove members with a confirmation dialog. Permission-based access control ensures proper authorization.
The Clients Section displays a list of assigned clients, allows you to invite new clients to the template, and enables you to remove clients with confirmation. Permission-based visibility controls who can see client information.

Milestone Management

In the template details page, you will find a Milestone section with a “Create” button that allows you to add new milestones to your template. You can create milestones to organize project phases and track important deadlines within the template structure.
When creating a milestone, you can enter the Title (required), Cost (currency input), Start Date and End Date, and Summary (description). When editing a milestone, you have access to all creation fields plus Status selection (Incomplete/Complete) and a Progress slider (0-100%).
Each milestone is displayed in a table view with columns showing Title, Cost, Start Date, End Date, Status, and Progress. The table includes a Progress bar visualization for quick tracking and Edit and Delete actions for each milestone. Overdue dates are highlighted for easy identification.

Tasks Management

The Task section provides access to a comprehensive task management system within the template. To create a new task, click the “Create” button on the task section.
Fill out the task form by entering the Task Title (required), Description, selecting Priority level (High, Medium, Low), choosing Assigned To users (multi-select), setting the Duration with a date range picker, selecting the Stage (from task stages), and assigning a Milestone.
The task list displays a table with columns for Title, Priority, Stage, Assigned Users, and Duration. The table includes Priority badges with color coding, Stage indicators with custom colors, User avatars for assignments, and Actions (View, Edit, Delete) for each task entry.
When you click the View action on a task, you will see comprehensive task details including description, assigned users with avatars, stage and priority information, and creation and duration dates.

Bug Reports Management

The Bug Report section provides a comprehensive bug tracking system within the template. To create a new bug report, click the “Create” button on the bug report section.
Fill out the form by entering the bug title (required), adding a Description, selecting priority level from the dropdown options (High, Medium, Low), choosing assigned users from the Assign To dropdown (multi-select), and selecting the bug stage from the Bug Stages dropdown.
The bug report list displays columns for Title, Priority, Assigned Users, and Stage with priority and stage color coding, user avatar display, and Actions (Edit, Delete) for each bug report entry.
The system provides stage-based workflow management with assignment to multiple users and priority-based organization for effective bug tracking.
